Introducing PTWin32 |
The SRW
Ad-Hoc Reporter included with PTWin32 is a valuable tool for creating
printed reports or for querying your data across a wide range of criteria. But
what happens if you want to manipulate the results of your report or query
before you send it to the printer? Perhaps you want to
capture the data and bring it into another software program. You might want to
reformat the results of the report or query as a word processing document. Or
you may want to analyze a subset of your data in another database package or
spreadsheet. The ability to print
your data to a file on your hard drive, instead of sending it to the printer for
a hard copy is of great value. You can’t manipulate the data on a printed
report, but you can do what you want to a file on your hard drive. To output the results
of your report or query to a file follow these directions. Execute PTWin32 and
bring up the SRW Ad-Hoc Reporter. Next
load or create a report or query. It doesn’t have to be complicated, just grab
any table and drag a few fields onto the Define
Search grid. Confirm that you have
data in your report by checking the Preview Report tab. If you have data you are ready to output to a
file. Pull down the File Menu of the SRW
Ad-Hoc Reporter and select Print
Report. This will display the
Save Records To File dialog box. This
dialog box contains 4 fields. The first field, File
Name has a button that allows you to explore your hard drive to select a
name and location for your exported data file. The File
Type field allows you to select between 5 different formats for your
exported data file. You can distribute a report via email by selecting the .SHZ
file type. The Paradox (.DB) and dBase (.DBF) alternatives create database
tables and fill the fields with the results of your report or query. The ASCII
Delimited format will create a text file with quotes around your values and
commas between your fields. You can use these delimiters to create database
files or to search and replace in a word processor. The Fixed
Field ASCII alternative arranges your data so that field values appear in
the same location of each line. This is useful for mail-merge functions. Once you have
selected a File Type press the OK
button to create the file on your hard drive. Then go open the file in your
program of choice.
