Prior to automation many jurisdictions had paper permitting systems based on numbered pre-printed forms. If something happened to make the use of a specific numbered sheet impossible, the sheet was not thrown away. It was given a status of "Void" and filed with all of the other numbered forms.

This way you could spot check your records simply by confirming the existence of all the sequentially numbered forms. If a number in the string were missing you would know an official form had been lost. This technique can be recreated in PTWin

Besides the Permit # field that you use to uniquely identify your permit records, there is another, "invisible" Key field that we use behind the scenes in PTWin. When you create a new permit record The Key field is assigned a sequential number by PTWin. If you delete a record its Key number is not reused thus creating a hole in the sequence.

We have included an Ad Hoc report with PTWin in the PTWin\Programs directory called Audit.srw. This report shows your permit records by the Type of Permit, the Permit #, and the sequential Key value.

Remember, in order for this to work you will have to set a standard where you never Delete a permit record. Unusable records must remain in the file with their Status fields set to "Void".

To view this report execute Ad Hoc Reports from the Main Toolbar, then click on File and Open Report. Select Audit.srw as the file name and push OK. Click on the Preview Report tab to see the sequential numbers.
